Licenses and members are two numbers
Section titled “Licenses and members are two numbers”Licenses is what your organization bought, shown on Settings → Organization → Subscription. The number is chosen when you subscribe, or agreed with Teamhood for an organization it invoices. It is not a count of your member list, so the two numbers can differ. Open in Teamhood
Members are the people in the organization, listed on Settings → Organization → Users. Open in Teamhood
How the member list is counted
Section titled “How the member list is counted”The tab strip above the list counts the members:
| Tab | Who is in it |
|---|---|
| All | Everyone on the list except deleted accounts: active, invited and deactivated |
| Active | Signed-up people who can sign in today |
| Invited | Invitations sent and not yet accepted |
| Inactive | Deactivated accounts |
| Deleted | Removed accounts, kept so their name still resolves on old work |
An invitation takes a row from the moment you send it.
How licenses are used
Section titled “How licenses are used”A license is held by every active member and by every invitation not yet accepted. A deactivated member holds none, so people can be swapped without buying more.
When every license is in use, an invitation or a reactivation is refused with a message that points to the subscription page. A trial has no limit.
Licenses are changed on the subscription page. A subscription bought there has at least 3 licenses, and never fewer than the number in use. See Subscribe or change your subscription.
Taking someone out of the organization
Section titled “Taking someone out of the organization”Both actions are in the row’s actions menu on the Users page.
Deactivate stops the account signing in and keeps everything else. The person’s sessions end and their personal access tokens are revoked. Activate puts the person back. Deactivate is the reversible action, and the one to use when someone leaves.
Delete removes the account for good. An active member has to be deactivated first, and only an administrator may delete an account. After a delete, the person is removed from their teams, and any personal view access and API tokens are revoked.
Who can see the subscription page
Section titled “Who can see the subscription page”The Subscription row appears in settings only for a role that may read the subscription. Administrator covers it. The Collaborator and Reader roles that a new organization ships with do not.
